Homeroom Process & Practice

Setting the Homeroom for the Teacher and the Students is an important process. Not only will it enable you to easily filter and run reports by homeroom, but it is a critical field for the Assess portal. Without it filled in, students will not appear in Assess. You can set the HR field for Students that are Primary to your school (Home School) Only.

Practice: The HR field for teachers should be set in the week before or during the first week of school. Students’ HR field should be filled in no later than the second week of school. The Student HR field should not include commas or quotation marks. Use Alphanumeric characters only in the creation of Homerooms.

Use the Default Field Set in the following steps.

Step 1 – Set the HR field in the Staff Record via Staff Top Tab > Options > Modify List > Click on the Pencil above the HR field. Make certain to use 0 in front of single digits (01, 02 etc). Make certain to click the green checkmark at the top of the field before navigating away or going to the next page or your work will be lost.

Step 2 – Set the HR field in the Student Record via Student Top Tab > Options > Modify List > Click on the Pencil above the HR field. Make certain to enter the HR values the same as what you had on the staff HR field. 01 is not the same as 1. Hr01 is not the same as HR01. Make certain to click the green checkmark at the top of the field before navigating away or going to the next page or your work will be lost.

If you have missed a step or have a typo the HR Teacher field will remain blank on the student as in the image below. If Homeroom field or HR Teacher field is blank, the student record will not be available in the Assess Portal.

If a teacher and the student has the correct homeroom but the teacher name is not showing in the HR Teacher field do the following. Clear the Homeroom field for the students affected ( options > Modify List > clear the homeroom values) and save. Then reassign the homeroom value to the students again.

How to Quickly Check for Blanks in HR or HR Teacher Field

Student TT > Field Set: Default Fields > Sort by HR field > Make sure you are on Page 1 of student list. Blanks will be at top.

Repeat process with HR Teacher Field. If the HR Teacher field is blank but the the HR field is filled in it means that that staff member does not have the HR field on their details populated.
